Exhibiting at ExCeL London is a massive opportunity, but with 100,000m² of space across two halls (North and South), preparation is key. This guide focuses on the logistical "must-knows" to ensure your event runs smoothly.
1. Getting There: The Elizabeth Line Factor
ExCeL is served by two main stations. Knowing which one is closer to your stand will save you a 15-minute walk inside the building.
- Custom House (West Entrance): Best for halls N1–N11 and S1–S11. This is also where the main registration area and Platinum Suite are located.
- Prince Regent (East Entrance): Best for halls N12–N22, S12–S22, and the ICC London.
- Driving: If using a Sat Nav, use postcode E16 1DR for the car parks. Note that the Ultra Low Emission Zone (ULEZ) may apply to your vehicle.
2. Logistics & Vehicle Booking (Voyage Control)
ExCeL operates a strict "No Booking, No Entry" policy for loading bays during build-up and breakdown.
- Voyage Control: Every delivery vehicle must pre-book a slot via the ExCeL Voyage Control portal.
- The Process: You must report to the Traffic Office on Sandstone Lane first. Do not go straight to the loading doors.
- Courier Deliveries: Most couriers (UPS, DHL, etc.) cannot book Voyage Control slots. If you are having items sent via courier, ensure they arrive during show hours when your stand is manned, or use the venue's official lifting/handling partner (usually DSV) to receive goods on your behalf.
3. Power, IT & Utility Deadlines
ExCeL is a "blank canvas." Unless you have a specific package from the organizer, your stand will likely have no power or internet by default.
- The 28-Day Rule: Most venue service providers (ESM, Agility, etc.) offer "Early Bird" pricing that expires 4 weeks before the show. Rates can jump by up to 50% for late orders.
- Shell Scheme vs. Space Only: If you are "Shell Scheme," your package may include a single socket. If you are "Space Only," you must order a main-to-stand connection.
- Internet: The venue's free Wi-Fi is designed for casual browsing. For lead-capture apps, live demos, or streaming, a hardwired Ethernet line is highly recommended to avoid signal dropouts caused by thousands of competing devices.
4. Maximizing Impact in a Large Hall
With hundreds of exhibitors, the "Boulevard" can feel like a blur to visitors.
- Visibility Sightlines: High-brightness LED walls or 55"+ displays are the standard for ExCeL because of the high ceilings and natural light from the Boulevard windows.
- Audio Environments: The halls are cavernous. If you are hosting a presentation, "silent disco" style headphones or localized directional speakers are often more effective than traditional PA systems, which can cause echo.
- The "Tech Safety Net": Always have your content on a physical USB drive as a backup to the cloud. Many exhibitors find that having a technical partner on-call for the first two hours of "Go Live" prevents the most common opening-morning stresses.
5. On-Site Survival Tips
- Health & Safety: During build-up, you must wear a high-visibility vest and closed-toe shoes. The venue is a construction site during these times and security will refuse entry without them.
- The "Market Express": Located on the Boulevard, these use Amazon "Just Walk Out" tech. They are the fastest way to get food during busy lunch rushes.
- Hydration: There are free chilled water refill stations near the entrances and the central café areas.
- Business Services: If you need last-minute printing, badges, or stationery, the Business Services center is located on Level 0 near the West Entrance.
