Navigating the CBS Arena: The Exhibitor’s Guide to Success

Following our recent deep-dive into the NEC, many of you asked for the "Pulse perspective" on another Midlands heavyweight: The Coventry Building Society Arena.

The CBS Arena (formerly the Ricoh) is a world-class venue, but it operates differently than a massive "city" like the NEC. Because the exhibition halls are integrated directly with a stadium and hotel, logistics require a bit more precision.

Here is everything you need to know to make your next Coventry show seamless.

1. Power & Internet: Don't Get Left in the Dark

At the CBS Arena, utilities are handled with a "pre-order" culture.

  • Order Early: Standard power and wired internet should be ordered at least 14 to 21 days before the build-up. The Arena often applies a 20% surcharge for late orders.
  • Wired vs. Wireless: While the Arena has public Wi-Fi, it can become "contended" (slow) once thousands of visitors arrive. If you are running a live demo, a payment terminal, or a Pulse interactive activation, always order a wired drop.
  • Socket Logic: Remember that a standard 500W socket is usually enough for a laptop and a couple of small screens, but if you’re hiring one of our larger LED Walls, we need to coordinate specific power requirements with the venue services team early.

2. Rigging: Thinking Above the Stand

Rigging at the CBS Arena is managed by their in-house team.

  • The Process: You cannot bring your own motors and points. You must submit a rigging plan to [email protected] for approval.
  • Sign-off: Rigging sign-off is mandatory. Ensure your contractor (or us!) has provided the total weight loadings and height requirements well in advance.
  • Pulse Tip: If you want a "floating" look for your branding or AV, the ceiling heights in Hall 1 are generous (over 10m), making it perfect for high-impact overhead truss.

3. Loading & Unloading: Gate 29 and 26 Are Your Best Friend

Access to the main Exhibition Halls (1 & 2) is typically via Gate 29, located at the side of Hall 1.

  • Door Dimensions: The external loading bay door is roughly 5.6m high x 5.5m wide. It’s large enough for most trucks, but timing is everything.
  • Space Only vs. Shell Scheme: Usually, Space Only exhibitors get access from 09:00, while Shell Scheme exhibitors start at 14:00. Stick to your slot—the loading area is smaller than the NEC and gets congested quickly.
  • Parking: On show days, exhibitors usually park in Car Park A. Parking is around £10-£15 per day, but check your exhibitor manual as some organizers provide "E-permits."

4. Where to Stay: Convenience vs. Comfort

  • The Ultimate Convenience: DoubleTree by Hilton CBS Arena. It is literally inside the venue. You can walk from your room to your stand in three minutes. Some rooms even have pitch-side views!
  • The Mid-Range Choice: Novotel Coventry M6 J3. Just a 5-minute drive away, it's a reliable option for teams who want to get slightly away from the "event bubble."
  • The Premium Experience: Coombe Abbey Hotel. About 15 minutes away, this is a 12th-century abbey set in 500 acres. If you need to impress a client or just want a quiet, high-end night's sleep, this is the one.

5. Lunch & Refueling

The Arena has its own on-site coffee shop and the Anecdote Sports Bar, which is great for a proper sit-down lunch. However, if you want a quick "grab-and-go":

  • Arena Park Shopping Centre: Just a 5-minute walk from the North Entrance. There is a massive Tesco Extra, a Marks & Spencer, and a Subway. It’s the secret weapon for exhibitors who don’t want to pay "exhibition prices" for a sandwich.
